AzuKo is an architecture charity aiming to end housing poverty, operating in the UK and Bangladesh.
The brief was to plan an event for their 10th anniversary that caters for over 250 funders, volunteers, team members and beneficiaries who will be attending from all around the world, making them all feel valued with a secondary priority of driving pledges and donations.

We conducted 20 interviews and surveyed a broader audience of 32 people with varying levels of engagement with charities.
From this data we identified key themes by affinity mapping, including people's desire to network and preference for smaller interactive online events which allow for everyone to contribute.
An important insight was that people’s attention span for an online event was limited to just 1-2 hours.
Define
We saw a clear divide in our audience that allowed us to create two personas based on their relationship to the organisation.
Problem Statement:
Sarah and Helena need a way to feel engaged and valued when attending a hybrid (in-person & online) event because this format of event can create a feeling of disconnect between the attendees.
We believe that by planning an event that is inclusive of online and in-person attendees, we will achieve Sarah and Helena feeling engaged and valued. We will know this to be true by the receipt of pledges for volunteering and monetary donations.
Ideate
With a series of crazy 8s, storyboards and competitor analysis we started to build a vision of the event.
To accommodate a variety of locations, time zones and attention spans, we planned an itinerary of short events such as workshops, discussions and talks, hosted mostly online over the course of a few days, with the final event being an in-person event.
With all this to consider, we first focused on the ‘happy path’ for our user flow which is to enter the website and attend an event.
Design
The greyscale low-fidelity wireframe allowed us to create the main ‘happy flow’, and on our first round of usability testing key issues with the log-in page and events itinerary were highlighted.
These were addressed in the high-fidelity wireframe and the sign-in page was simplified to direct the user straight into the site and the itinerary changed from a calendar layout to a stacked list which could present more information upfront.
This made the flow a lot more streamlined and negated the need for any popups.
Overall, the client was very pleased to gain insight into how to make the attendees feel engaged and valued at their event and were enthusiastic with our proposal of a series of smaller events over one large hybrid event.
This will allow greater flexibility for people to attend at their convenience and will also reduce the hosting workload for the small AzuKo team as there will be fewer attendees per event.
